The Position

LPI seeks a full-time Information Technology and Palo Alto Office Administrator to join its team of research, policy, communication, and operations staff in advancing the organization’s mission to make education equitable for all children. This position is based in our Palo Alto, CA office. This role will be required to be onsite up to three days per week as staff transition back into the office.

This role is tasked with office operations for one of LPI’s two offices and administration of LPI’s IT hardware, applications, and network.

Major Responsibilities

Information Technology (IT)

  • Order and track equipment (e.g., laptops, printers).
  • Support staff troubleshooting laptop, printer, and connectivity issues.
  • Act as LPI’s cold computer administrator and coordinator with users.
  • Manage LPI’s external IT support vendor (BACS).
  • Manage Outlook accounts and licenses.
  • Engage/manage other IT-related vendors as needed (e.g., IT security, applications, etc.).
  • Act as point person for general office applications including troubleshooting, training, account administration (adding/updating accounts), etc. 

Office Operations and Administration

  • Oversee the day-to-day operations and administration of the PA office and directly interface with staff and visitors.
  • Be the primary point of contact for building maintenance and management.
  • Handle catering and logistics for Palo Alto events.
  • Be responsible for PA Scheduling Calendar and PA Conference Bridge.
  • Manage celebrations/gifts for PA staff life events.
  • Work closely with HR team to assist with new employee orientation, workspace setup, and train new hires on software application and office related policies.
  • Manage non-staff travel for PA office.
  • Handle Zoom logistics for All Staff meetings and retreats.      
  • ​​Assist with organization-wide administrative/operation needs.
  • Participate in organization-wide committees and work groups.
  • Other duties as assigned.

Qualifications and Experience

  • Bachelor's degree or equivalent work experience.
  • One to two years as an IT Administrator preferred.
  • Excellent verbal and written communication skills, interpersonal skills, organizational skills, and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Strong analytical and problem-solving skills.
  • Knowledge of hardware, software, and applications in an office setting. Applications include Zoom, Egencia, Asana, Expensify, Sage/Intacct, MS Office, Dropbox, Ring Central, Notion, and Enlist.
  • Ability to manage external vendors.
  • Must be authorized to work in the United States for any employer.
